What does this Privacy Notice cover?

This Supplementary Privacy Notice provides information about personal data which are collected and processed in the context of the registration and organisation of Shell LiveWire, including Shell LiveWire Impact Makers, as well as to visitors of Shell LiveWire website and other tools used for registration and collaboration process.

When delivering Shell LiveWire, including Shell LiveWire Impact Makers, a company or companies within the Shell group of companies (“Shell”) may collect and process information that is necessary for the following purposes: application and selection process, facilitation of participation, communication of relevant information, public voting and external announcement of competition winners, events, training, promotional activities, certification, participation in and facilitation of the Shell LiveWire Community platform, feedback and monitoring surveys to improve Shell LiveWire and track impact, and preferences regarding future communication from Shell.

What personal data do we process?

Depending on your role in the Shell LiveWire program (whether you are a voter, participant, facilitator, judge etc.), we collect and use personal data only to the necessary extent according to the motorist, loyalty customer, Shell app user or the business customer, supplier, partner or investor privacy notices.

Additionally, Shell may process some or all of the following types of personal data:

• Year of birth, phone number, gender, account bank/deposit number and/or codes, signature, and any special requirements.
• Photographs and/or film in which you are recognisable.
• Any additional information provided as feedback to the Shell LiveWire, including Shell LiveWire Impact Makers.

For what purposes do we process your personal data?

Except where required by applicable local law or emergency situations, and in the motorist, loyalty customer, Shell app user or the business customer, supplier, partner or investor privacy notices., personal data will only be processed for the following purposes:

• Process applications to select, assess, and facilitate participation in, and delivery of the Shell LiveWire programmes and Shell LiveWire Impact Makers – including communication of relevant information, evaluating submissions and participation, public voting, certification based on results, organisation of events, trainings etc., feedback or questions received for improving future Shell LiveWire and Shell LiveWire Impact Makers , promoting the Shell LiveWire and Shell LiveWire Impact Makers and/or future editions, communication preferences regarding further communication from Shell.
• Judge applications to the Shell LiveWire Programmes and Shell LiveWire Impact Makers.
• Process and assess when applicable votes submitted for the Shell LiveWire Impact Makers
• Carry out obligations in relation to the Shell LiveWire, including Shell LiveWire Impact Makers.
• Facilitate participation in the Shell LiveWire Community platform.
• Respond to queries or requests submitted.
• Contact participants to evaluate their progress/developments.
• Health, safety, security & environment – including proper controls for access and establishing the identity of the participants.
• Legal and/or regulatory compliance – including compliance with legal or regulatory requirements.

Processing may take place at any time before and during registration process and / or during the organisation of the Shell LiveWire and Shell LiveWire Impact Makers and may continue after for limited purposes.

Communication to participants

Shell will only communicate with participants for purposes related to the delivery of and participation in Shell LiveWire and Shell LiveWire Impact Makers.

With your consent, Shell may also communicate with you further and may send you newsletters regarding similar programmes and/or communications about Shell products and services that may be of interest to you. With your consent, Shell may ask you questions/feedback related to the Shell LiveWire and Shell LiveWire Impact Makers.

Specific information about photographs and film

You may be asked to provide photographs and/or film as a part of your submission for Shell LiveWire and Shell LiveWire Impact Makers. Shell may use and process such personal data for the purpose of evaluating your submission in the context of the event, including sharing the submission with, or making it available to, any accessors, judges, experts or any other individuals involved in evaluating the submission (this may include public evaluation/voting where relevant).

Shell may use such personal data for general Shell publicity, internal Shell initiatives, at Shell events and through Shell print, online, and television media.

Shell may also take photographs and/or film and record during Shell LiveWire and Shell LiveWire Impact Makers, gather them, and use for general Shell publicity, internal Shell initiatives, at Shell events and through Shell print, online, and television media.

Except where required by applicable local law or emergency situations, or for our archiving arrangements referred to below, photographs or film are exclusively processed for the purposes referred to above and will only be shared with:

• Other companies within the Shell group of companies.
• Authorized third-party agents, service providers, external auditors, and/or subcontractors of Shell.
• A competent public authority, government, regulatory or fiscal agency where it is necessary to comply with a legal or regulatory obligation to which the relevant Shell company/companies is subject to or as permitted by applicable local law; or
• With your consent, with authorized third-party companies that co-host or are a business partner in the Shell LiveWire & Shell LiveWire Impact Makers.

Shell will not process such materials for longer than 10 years where consent is gathered or there is a legitimate reason for processing in line with the purposes specified above, after which they will be deleted.

In all cases information may be held for:

• a longer period of time where there is a legal or regulatory reason to do so (in which case it will be deleted once no longer required for the legal or regulatory purpose) or where the personal data is retained in our archive for public interest or historical and statistical research purposes; or
• a shorter period where the individual objects to the processing of their personal data and there is no longer a legitimate business purpose to retain it, or consent is withdrawn.

In those cases where processing is based on consent, and subject to applicable local law which provides otherwise, you have the right to withdraw your consent at any time. This will not affect the validity of the processing prior to the withdrawal of consent.
